NAEP Virtual Event Policies

Cancellation Policy

Notification of cancellation must be submitted in writing via email to [email protected] Cancellations received at least 14 days before the live virtual event will be refunded, less a $75 cancellation fee ($25 for NAEP non-member webinar registration cancellations). No refunds will be made for cancellations received less than 14 days before the event. Substitutions can be made at any time before the day of the live event, please contact the NAEP Office at [email protected] with your request.

NEPA Workshops: The cancellation fee applies if a registered attendee is unable to attend the selected workshop and reaches out to change their registration to a different date.

Nonpayment Policy

Full payment of registration fees is required before the start of an event. If full payment has not been remitted at least 7 days before the start of the event, the registrant may not receive "know before you go" information, materials/handouts, and/or access to the live virtual event. The NAEP office will contact registered individuals with a balance ahead of this date.

Subject to Change or Cancellation

All NAEP virtual events are subject to change and/or cancellation. Course agendas are constantly being updated by the instructors to ensure that the most current materials are presented.

NEPA Workshops: If pre-registration attendance is below the expected numbers, instructors may cancel the workshop. If a workshop is cancelled all attendees will be refunded without a fee. 

Recording Release 

Most virtual events are recorded, including chat transcripts. Video recorded during the event will be provided to all registrants 1-2 business days after the event has taken place. This recording may be used for promotional purposes, advertising, and other print and online materials at the sole discretion of NAEP. You must consent to be recorded if you plan to attend the live sessions. 

Technical Failure Policy 

It is the responsibility of the registrant to confirm system requirements and test their computers prior to the start of each virtual session. If a technical failure is the fault of the service provider and the session is not able to be broadcast as planned, NAEP reserves the right to reschedule the session. If the registrant cannot attend the rescheduled session live, they will be provided with the recording or they may request a prorated refund.

Code of Conduct

By registering for or attending an NAEP virtual event, you agree to comply with the following Code of Conduct at all times during the event and any event-related gatherings.

The NAEP leadership and staff are committed to providing a safe, productive, welcoming, and vibrant learning environment to all participants, including staff and vendors, at all of our events. We welcome people from as many diverse backgrounds as possible. We expect our events to be a respectful, harassment-free environment for people of all races, genders, and trans identities, sexual orientations, abilities, nationalities, ethnicities, socioeconomic status, and beliefs. We have no tolerance for discrimination, harassment, or bullying in any form at an event for any reason, including on account of a person’s age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law. Participants are expected to adhere to these principles and respect the rights of others.

We’re grateful that our community is positive, friendly, and supportive of one another — it’s what makes our events the best they can be each year.

In that spirit, the staff, supporters, volunteers, attendees, and speakers at all NAEP events are expected to:

  • Exercise consideration and respect in your speech and actions.
  • Keep conversations professional and respectful and consider other parties’ points of view. In short, don’t make it personal. Passionate conversations are part of solving problems. Disagreements happen all the time and are necessary to consider difficult questions.
  • Remember that the boundaries of good taste, humor, personal space, and physical interaction differ from person to person; if you sense someone feels uncomfortable — whether they explicitly state it or not — be respectful of those boundaries.
  • Refrain from demeaning, discriminatory, or harassing behavior. Harassment and inappropriate behavior may include, but are not limited to:
    • Sexist, racist, homophobic, transphobic, or otherwise discriminatory jokes or language, physical intimidation, stalking, or following sustained disruption of talks or events.
    • Posting or displaying sexually explicit or violent material; if for any reason you may need this material for an educational session, please contact NAEP staff first and we can discuss how to give an appropriate warning to participants.
    • Unwelcome sexual attention. This includes sexualized comments or jokes; inappropriate touching, groping, and unwelcomed sexual advances.
    • Advocating for, or encouraging, any of the above behavior.

Code of Ethics 

I understand and agree that my registration and attendance constitute an agreement by me to abide by the NAEP Code of Ethics for the duration of my participation in this virtual event.
